The Division of Molecular Thoracic Oncology is seeking as of June 2026 a
Our research is focused on understanding the genetic and molecular basis of lung and breast cancers by studying various oncogenic drivers and specific genetic alterations that drive cancer progression. Using advanced genetically engineered mouse models, we examine how distinct gene expression profiles influence tumor aggressiveness and responsiveness to treatment. A key part of our research involves identifying biomarkers predictive of poor therapeutic outcomes, aiming to develop more precise cancer therapies.
Your Tasks
- General office management and day-to-day organizational tasks for our international division
- Independent drafting of internal and external correspondence in German and English
- Support onboarding of new employees (administrative setup, coordination with internal interfaces)
- Travel management: arranging business travel for division members and handling electronic travel requests/approvals and reimbursements (domestic and international)
- Co-management and coordination of budgets and grants (tracking, documentation, reporting support)
- Editing and maintenance of the departmental website and division-specific databases
- Processing of orders and invoices (e.g., SAP Ariba procurement and related workflows)
- Procurement planning: tracking recurring orders/contracts, vendor onboarding, comparing quotes, monitoring delivery delays
- Coordinating laboratory and equipment-related requests (e.g., organizing repairs via the SAP Fiori App)
- Administrative processing in internal portals (e.g., handling employee sick leave entries/notifications according to DKFZ process)
- Document management: maintaining structured folders for grants, budgets, SOPs, travel, invoices; version control; templates
- Maintaining and updating the head of division’s documents (e.g., CVs, biosketches, publication lists for grants and reports)
- Calendar and meeting triage for the head of division (prioritization, agenda prep, minutes, follow-ups)
- Event management: organization of national and international seminars, meetings, workshops, student courses, and conferences
Your Profile
- Completed vocational training in an administration/commercial field (e.g., office management, administration, or comparable)
- Excellent organizational and communication skills in German and English
- High sense of responsibility, initiative, discretion, and confidentiality
- Structured, independent working style and strong service mindset
- Confident user of MS Office (Word, Excel, PowerPoint, Outlook)
- Team-oriented, reliable, committed, and able to prioritize in a dynamic environment
- Prior experience in general administrative activities is essential
- Willingness to learn new tools and processes; DKFZ offers training for the software used in this role
